If décor and/or floral is handled by the client, family, or friends, the client must oversee all décor and floral responsibilities and must adhere to guidelines. All vendors must check out with Deerwoode Reserve before leaving event premises.
The Florist/Decorator’s prime responsibilities include, but may not be limited to:
Setup and removal of all décor and floral items only during contracted building time.
f the floral needs to be re-purposed or removed mid-event, florist or designated person must stay for that repurposing. Florists may also need to remain on site to light candles. Venue host or planner will not do so unless approved in writing in advance.
Arrive with arrangements completed unless otherwise approved by Deerwoode Reserve.
Clean areas where floral and debris have fallen before and after the event including ceremony, venue, work and loading sites, paying close attention to tossed or loose petals, greenery, and any hanging floral.
Provide cylinders, containers, vases, lanterns, etc. and needed supplies for flowers.
Any use of candles is limited to the Mayes Event Center Reception space only and must be approved in writing in
advance. If permitted, the use of glass hurricanes or candle holders that fully encase the candle so there is
no risk of damage to the linen below are required. Where floral and candle combination décor exists or
flammable decorations and candle combination décor exists, candles must be enclosed in a glass
hurricane/candle holder. Dripless candles are recommended, but not required. NO CANDLES OR FLAMMABLE ITEMS ARE TO BE USED IN THE BRIDAL SUITE UNDER ANY CIRCUMSTANCES.
Ladders may be used for decorating. For safety purposes, standing on tables and chairs is not allowed. If a client uses the venue’s ladder, this must be requested and approved in advance.
Decorations may not hang from the ceiling without approval from Deerwoode Management. If approved, Deerwoode Management must be onsite and proper use of equipment and safety guidelines must be followed. The Client/Decorator shall not erect or operate any machinery or install any electrical wiring as part of its
venue setup.
Fireworks, Sparklers, Lanterns, Fog and/or Smoke Machines, or open flames of any kind are not permitted inside venue buildings as they may interfere with the overall function of fire alarms. Water-based Fog and/or Smoke Machines are permitted at outdoor locations on the property only. Hay, straw, cornstalks, or any highly flammable materials, or dry tinder is prohibited. Fresh Christmas trees must be treated with retardant. Gasoline engines are also prohibited.
Decorator shall not use or permit to be used any substance that may deface the Venue including but not limited to paint, nails, tacks, tapes, glue, screws, staples, 3M Products, or similar items. The Venue does approve Gaff Tape on stage only.
Balloons must be secured and anchored down. Balloons must be approved prior to use.
The use of rice, bird seed, glitter, confetti, or other non-biodegradable items within the venue, or outside, is prohibited.
Any use of artificial florals outside must be approved by Deerwoode management in writing.
Remove all decor trash from property. Decorator/Florist will be responsible for taking bagged trash andrecycling to receptacles on pro perty, or removing all trash from property. Check with Deerwoode Event Management prior to the event to confirm trash receptacles.
All decor and floral must be removed from venue by the signed contracted time or the client will be charged extended use fees.
