Deerwoode Reserve Vendor Terms

VENDOR TERMS FOR ALL ENTERTAINMENT

All Vendors providing services at Deerwoode Reserve must agree to and abide by the vendor terms. Any exceptions to the listed rules and terms below must have prior written approval.

MANAGEMENT SERVICES:

Management (Referred hereinafter as Deerwoode Event Management) will be on-site during events, provide parking assistance, use of golf cart for transportation during events, and ensure the Center is in good working order. Additionally, Management will be available to assist with the set up and take down of Management Property (i.e. tables and chairs) for the  events during the Rental Period: rehearsal dinner; ceremony; cocktail hour and reception; and morning-after brunch. 

Client shall be solely responsible for the set up and take down of any non-Management Property.


There shall be no smoking inside the Center or any other buildings. Smoking is permitted outside in designated areas. Cigarette butts must be properly disposed of in the trash and not left outside.

VENDOR TERMS FOR ALL ENTERTAINMENT

All amplified music must end by 10:30pm. Tear down and removal of the Entertainment /musician / DJ’s equipment / must be completed by 11:00pm.


Any Requests for extending the event time must be approved in advance by Deerwoode Reserve. No day of exceptions are allowed.


The Entertainment Vendor’s prime responsibilities include, and may not be limited to:


• Deerwoode Reserve does not provide any audio or video equipment. Clients must contract all equipment from rental companies, or through their DJ Company or Band.  This includes ceremony miking or outside sound.


• Entertainment must provide all necessary A/V equipment, including extension cords, speakers, microphone

and cords. 


• Pyrotechnics are prohibited in any event spaces, smoke machines must be water-based and are allowed at outdoor venues only. All effects items must be approved by Deerwoode Reserve Management before use.


• Teardown and removal of equipment must be completed by the client’s contracted vendor end time.


• Entertainer is responsible for removing all items they brought on property, including any trash from the setup.


Entertainment areas need to be restored to the condition they were found upon exit.


Deerwoode Reserves accepts no responsibility for entertainment provider’s equipment brought to or stored on the property at any time. Entertainment providers further accept that any equipment brought to or stored on the property is done so entirely at their own risk. Entertainment provider agrees that he/she will be fully responsible for the actions of all persons operating its equipment. Any inappropriate, disruptive or illegal behavior will result in the immediate termination of the event, with no refund provided to the client.


 Vendors are not allowed to drink during the event or while on property.

All vendors must check out with Deerwoode Reserve Management before leaving event premises. 


INITIAL TO CONFIRM YOU HAVE READ

TRASH REMOVAL: All Trash must be bagged and ready for removal. Clients must place all bags of trash in the service area off of the Catering Kitchen. No food or trash is to be left outside.

DAMAGE: The Client shall maintain the Center in a good, clean, and working condition, and use the Center only in a careful and lawful manner. Client is responsible for any damages to the Center and the surrounding property that may have been caused by the Client and/or their guests, invitees, or vendors. Client shall immediately notify Management of any damage to the Center.

Vendors are not allowed to drink during the event or while on property.


All vendors must check out with Deerwoode Reserve Management before leaving event premises.
